Illumination Foundation (IF) is a growing non-profit organization dedicated towards disrupting the cycle of homelessness by providing targeted, interdisciplinary services in our recuperative care centers, emergency shelters, housing services and children’s and family programs. IF currently has 13+ facilities with 22+ micro-communities scattered across Orange County, Los Angeles County and the Inland Empire.

Job Description:

The Compliance Coordinator is responsible for the tracking, preparation, and completion of regulatory filings, registrations, licensing, and other compliance documents. The position will be critical to ensuring that the organization is following legal, ethical, and regulatory requirements. As a Compliance Coordinator, your duties may include revising and distributing company policy information, training employees on company requirements and expectations. Other responsibilities may involve compiling audit data, analyzing the information, and making presentations on your findings to management. 
The pay range for this role is $20.00- $24.00. 

Job Duties:
Contract and Document Management: 

  • Organize and manage contracts, agreements, and document systems.
  • Track policy revisions, deadlines, and ensure timely document distribution. 
  • Oversee vendor contracts and partnerships to ensure they meet compliance standards. 


Compliance and Ethics Monitoring: 

  • Support compliance monitoring and enforce contractual obligations. 
  • Ensure that third-party vendors or contractors adhere to required compliance practices, including data privacy and insurance. 
  • Track and maintain records of certificates of insurance (COIs) for clients, vendors, and partners, ensuring they meet compliance and contractual requirements. 
  • Ensure the secure storage and sharing of sensitive data, conducting periodic audits for compliance. 
  • Support the maintenance of licenses and permits required for operations. 
  • Oversee the Legisway system or similar compliance platforms, ensuring up-to-date compliance data and training staff. 
  • Help manage and resolve conflicts of interest, whistleblower reports, or ethical concerns. 
  • Support the enforcement of the organization’s ethics policy, ensuring staff and volunteers adhere to the established code of conduct. 
  • Conduct surveys to assess program compliance and gather staff feedback, ensuring data is collected, analyzed, and used to inform continuous improvement efforts and enhance organizational effectiveness. 


Incident and Litigation Management: 

  • Intake and Management of Incident Reports (IRs) and Sentinel Events (SEs) 
  • Assist with claims, litigation files, and ensure compliance records are up-to-date. 
  • Provide support for client-related litigation and maintain accessible documentation. 


Training and Development: 

  • Develop employee training programs on compliance, quality assurance, and operational best practices. 
  • Provide training on contract terms, compliance, and operational best practices. 


General Responsibilities and Administrative Support: 

  • Take accurate meeting notes or minutes. 
  • Prepare and edit correspondence, minutes, memos, presentations, and spreadsheets. 
  • Assist with record requests and ensure timely response and follow-up. 
  • Communicate across departments to ensure compliance and operational alignment. 
  • Occasionally travel to different sites or locations for training, litigation, or business needs. 
  • Be adaptable to evolving responsibilities and organizational needs.

  • Excellent Time Management Skills 

Required:

  • Bachelor’s degree in Compliance, Legal Studies, Risk Management, Human Services, or a related field. 

  • 2+ years of experience in Human Services, compliance, regulatory affairs, or related fields. 

  • Strong computer skills; proficiency in Microsoft Office Suite and Adobe
